Who is this guide for?
Cotiss Administrators and IT teams who are responsible for the settings and configuration of what Cotiss has access to in order to pull and display valuable insights from applicable Microsoft inboxes.
Configuration is actioned after the Cotiss Inbox - Microsoft Integration has been approved by your Microsoft 365 Administrator.
If approval has not yet been granted, you must first head to the following guide to request approval for this integration.
How to set up and configure the Cotiss Inbox - Microsoft Integration
After approval for the Integration is confirmed, your Workspace settings will now display a tab called Integrations. Within the Integrations tab, you have two settings you can configure:
1 - Internal mailbox syncing
This setting is where you can configure which of your internal Microsoft groups will integrate into your Cotiss Inbox.
Microsoft groups that have been approved by your Microsoft administrator will automatically appear within the Synced mailbox groups section ready for configuration. Advanced filtering can also be applied here for edge case Mailboxes that need to be included or excluded from your group configurations. To find a specific group or mailbox - jump into the search bar to speed up your search!
Microsoft groups:
Within the Microsofts groups tab you will find a table of auto populated mailbox groups that have been pulled through via the Cotiss - Microsoft 365 integration.
Here you can toggle off or on the groups of mailboxes that you want to have synced with Cotiss in order for the system to pull insights from said mailboxes.
The count of how many mailboxes there are within each group, is displayed next to the toggle button, to which you can click on, to drill down and see the exact mailboxes you are configuring for syncing.
Any specific mailboxes that have been set to be excluded via the Advanced Filtering will display as 'Excluded' within this mailbox drill down view.
Advanced Filtering:
Within the Advanced Filtering tab you can outline which specific mailboxes need to be Included or Excluded from the group configurations that are set up within the Microsoft Groups tab.
Simply click '+Add' within the Inclusion or Exclusion table depending on the type of filter you want to apply to the mailbox configuration and if you wish to remove a mailbox from either table, click on the '...' button in line with the applicable mailbox and click 'remove' to delete the filter.
Confirming Sync Settings:
Once you are happy with the configuration of which mailboxes you want synced into Cotiss via the Microsoft 365 Integration, you can;
Check your final configuration via the Green and Red tags in the top right of the page. The green tag will display the number of groups and number of mailboxes that are Included in your configuration and the red tag will display the number of mailboxes that are Excluded from your configuration. Click into each to drill down and see the exact mailboxes listed.
Confirm your Configuration settings by clicking on the 'Confirm Settings' button in the banner at the top to begin your initial sync.
Once the Initial sync has been triggered, any additional/new 'Included' mailboxes to your configuration will automatically sync and any mailboxes changed to 'Excluded' will retain the historically synced information but will not sync new data from that date onwards.
2 - External domain filters
This setting is where you can set exclusion rules to filter out any External domains, mailboxes, or emails with certain keywords in the subject line, so that only the external mailboxes you want to pull insights from will be shown within the Cotiss Inbox.
To add a new exclusion to your External domain filtering, simply click on '+Add Filter Rule' and input the pattern you want to exclude. The options for what patterns you can enter here are;
Domain
example.com
@example.com
Mailbox
Keywords within an emails subject line
E.G - "invoice"

Once your Cotiss Inbox - Microsoft Integration Configuration is all confirmed, you Cotiss Inbox will automatically display the communication from the configured domains and mailboxes as well as pull applicable procurement insight as found by Cotiss AI.
