How to request the Cotiss Inbox - Microsoft 365 Integration for Vendor Communications

Request Microsoft 365 Integration approval from your Microsoft Administrator to unlock vendor communication within your Cotiss inbox

Why you need Microsoft administrator approval

To keep your Vendor communication transparent, Cotiss Inbox connects to Microsoft 365 using your company’s Microsoft Entra ID (Azure AD). This requires Microsoft 365 administration approval. You don’t need to do any technical setup yourself – all that's required from your end is to send a request to the correct IT contact.


Before you start

Make sure you have:

  • The email address of the Microsoft 365 admin who manages user permissions within your company’s Microsoft Entra ID (Azure AD).

  • A Cotiss profile with Admin, Contract Manager, or Procurement Manager.


Submit you request to Integrate

  1. Sign in to your Cotiss.

  2. Head to one of the 4 locations detailed below in which you can submit an approval request for this integration.

    1. Side Navigation pop up

    2. Banner within your Contacts Page

    3. Within the new activity tab of your Vendor Profile view

    4. Head to Settings > Workspace > Organisation > Microsoft 365 Email Sync

  3. Click 'Sign up for free!', 'Sync my email' or the 'Connect Microsoft 365' Button (depending on the avenue above you chose)

  4. Select the option in which you would like to contact your Microsoft Administrator from the options available:

    1. Input Microsoft Administrator's email to send an email from us with instructions and documentation for approving this request.

    2. Copy the ready made template and submit a ticket to your IT team via your internal system

  5. Your integration status will now show as pending - you can re-submit another request at anytime.


What your IT team will do

Your Microsoft Administrator will:

  1. Open the email from Cotiss and click the request link.

  2. Review the Cotiss application permissions.

  3. Approve the integration for Cotiss to access mailboxes according to your organisation’s security policies.

You don’t need to take any technical steps here – this part is entirely handled by your IT team.
