Signing your Contract through E-Signatures

Securely send and store contract signatures

Signing a document

When uploading a Document against a contract, signatures can be captured via Cotiss' DocuSign integration.
Cotiss uses a DocuSign integration for E-Signing contracts through the system. If selecting E-Sign, you will need to add the name, email and role to the list of users you wish to sign the document.
Each signatory will be assigned:
  • Name: The full name of the signatory, which will be displayed in the email.
  • Email: The email address of the signatory.
  • Role: Whether the signatory is Internal or External to your organisation.

Signatures will be captured sequentially with the External users required to sign first and Internal users second. In addition, all users within each role will be able to sign in
parallel

E-Signature lifecycle

Once approved and signatures are sent out, the status of signatures can be monitored in the contract shell. The signatures can be in the following states:

  • Pending: Waiting to be sent out via DocuSign. If set as the Internal signatory, this will be completed once all External signatures are received.
  • Sent: The signature has been sent out to the user via DocuSign.
  • Signed: The signatory has completed their signature.

At any point in the lifecycle, you can revoke the request, which will invalidate the signature.

Once all signatures have been signed, the completed document will be re-uploaded into the contract

Once all signatures have been completed, the document will be re-uploaded and the document and signatures will be visible next to the document.
