Managing your Live Request

Gain visibility over vendor response rates and the status of their submissions

Viewing Responses

Responses and the state of a vendor response can be viewed whilst the request is active.

If you have turned on response visibility This is also where you will be able to view submissions as they are finalised.

Each submission will have a status that indicates the progress of the response:
  • Invited: Organisation has been invited, but has not yet created a response
  • Watching: Subscribed to the listing and has access to documents
  • Drafting: Response is being drafted
  • Submitted: Response is submitted
  • Withdrawn: Response has been withdrawn

If a vendor is in any state, except invited, they will receive notifications for updates to the listing, including an extension or updates.

Preview listing

If you want visibility over the vendor view, you can click on 'Preview Listing' to view the listing that will be visible once they are invited.

Updates

Once your request is live, you may still have additional information you wish to communicate with vendors, this can be done via updates.
Each update is broadcast to all vendors that have been invited or created a submission to that request.

If an update is posted, all vendors who are subscribed to the listing will receive an email notification.

 

Forum

Vendors can ask direct questions from your organisation about a listing. When the question is created and likewise when you respond the question and answer can be made private or public so it is viewable by other suppliers.

All questions and answers remain anonymous to other suppliers.

When asking a question, vendors will mark whether they wish it to be private. When responding, you will have the option to publish it to other vendors or mark it as public.

 
 
Editing Listing

Once you have published your listing to market, you can update the:

  • Close Date: Update the date by which vendors need to respond.
  • Forum Close Date: Update the final date on which vendors can ask questions.

If updated, vendors will receive a notification and they will be able to view an audit log of the change.
