How do I make adjustments to active evaluations?

As an evaluation progresses, things change so here are the changes you can make before moderation begins

How to remove users from the Evaluation Panel

There are times where you may begin an evaluation and an evaluator goes on leave, gets sick or a become part of a conflict of interest, etc. These scenarios may delay the completion of your evaluation so removing them from the panel may be the best solution.

When these scenarios occur you can remove a evaluator accordingly via the steps below:

  1. Jump into the evaluation event

  2. Open the 'Team' tab

  3. On the 'Panel' page - hover your mouse over the evaluators name that you wish to delete.

  4. Click on the '...' button that will pop up

  5. Select 'Delete'

  6. Click Save and continue through the wizard to submit your changes

How to add to the Evaluation Panel

When your Evaluation begins you may need to add an additional evaluator to the panel to score this evaluation. Follow these simples steps to do so;

  1. Jump into the evaluation event

  2. Open the 'Team' tab

  3. On the 'Panel' page - click on the 'Edit' button in the top right

  4. When you're in the set up wizard - Click on '+ Add evaluator'

  5. Select the user you wish to add to the evaluation panel from the list of evaluators in your account

  6. Click Save and continue through the wizard to submit your changes

When you delete an evaluator - any scores or comments they have already submitted will be deleted and lost.

If you add them back to the panel after deleting them - they will need to re-submit all of their lost scores.

How to edit an evaluators Scoring Access

Evaluators can be set up with 'View-Only' or 'Scoring' access for each Criterion. This creates an Evaluation experience customised to each Evaluators expertise and involvement in the project.

In some scenarios, an Evaluator may be initially set up with the incorrect scoring access and you need to be able to adjust this.

Note : Even if an evaluation has already been set to Active you can still change/edit Evaluators access levels

Follow these simple steps to do so;

  1. Jump into the evaluation event

  2. Open the 'Team' tab

  3. On the 'Panel' page - click on the 'Edit' button in the top right

  4. When you're in the set up wizard - Click 'Continue' to move past the first stage (panel) to get to the Evaluator Access stage

  5. Here you can hover your mouse over the evaluators name that you wish to edit access for and click on the 'Edit Access' button that will pop up

  6. Select the criteria you want that evaluator to score/evaluate

  7. Unselect the criteria you want that evaluator to view only

  8. Click Save and continue through the wizard to submit your changes

When you remove an evaluators scoring access to criteria - any scores or comments they have already submitted for that criteria will be deleted and lost even if you turn their scoring back on for that criteria.


How to add or remove the evaluation owners

When your evaluation begins you may need to add an additional 'Owner' to assist with the management of the evaluation in case you go on leave or become sick.

Tip: It's good practise to have at least 2 owners on an evaluation event if you can to avoid delays in

Follow these simple steps to do so;

  1. Jump into the evaluation event

  2. Open the 'Team' tab

  3. Navigate to the 'Owners' page

  4. Click on the '+ Add owner' button in the top right

  5. Select the user you wish to add to the evaluation panel from the list of evaluators in your account

  6. Click Save and continue through the wizard to submit your changes

If you need to remove an owner of an evaluation because they have left the company or their role has changed, follow the steps below:

  1. Jump into the evaluation event

  2. Open the 'Team' tab

  3. Navigate to the 'Owners' page

  4. hover your mouse over the owners name that you wish to delete.

  5. Click on the '...' button that will pop up

  6. Select 'Delete'

  7. Click Save and continue through the wizard to submit your changes


Adding late vendor submissions to the Evaluation Manually

Submissions are commonly imported into your evaluations 'from a sourcing event' however there are cases where a vendor didn't quite get their submission into your Cotiss sourcing event and you need to tack them on at the evaluation stage manually.

When this occurs you can follow the steps below:

  1. Obtain the response documentation from the vendor via email or whatever means is easiest outside of Cotiss

  2. Jump into the evaluation event

  3. Open the 'Submissions' tab

  4. Click on '+ Add submission'

  5. From the options available you can choose either:

    1. Import through contact - this will prompt you to choose the vendor from your contact list and upload the response documentation they have sent you externally

    2. Import manually - this will prompt you to input the vendors name manually and upload the response documentation they have sent you externally

  6. Once uploaded - this submission will become available for evaluators to begin scoring.

Manual submissions can be added after the evaluation has begun and before the moderation begins
