Setting up your contract shell with E-signed documents
When creating a contract shell that contains an unsigned contract document, Cotiss uses a DocuSign integration for E-Signing contracts through the system.
When you select E-Sign as the signature option for the contract shell you are creating, you will need to add the details of the individuals you wish to send a signature request to.

You will be asked to select from the list of individuals you have sent signature requests to previously or you can 'type to create' a new signatory which will prompt you to capture the following information about them:
Name: The full name of the signatory, which will be displayed in the email.
Email: The email address of the signatory.
Role: Whether the signatory is
InternalorExternalto your organisation.
Things to note:
Signatures will be captured sequentially with the External users required to sign first and Internal users second.
All users with the same role will be able to sign in parallel to each other.
Signature requests do not have an expiry on them, the magic link remains in the Signatory's inbox until they click on it to activate and sign.
E-Signature Management
Once the contract approval is complete, signature requests are sent out, moving their status from 'pending' to 'sent'. and the status of signatures can be monitored in the contract shell throughout these stages.
The signature requests can be held in the following states:
Pending: Waiting to be sent out via DocuSign. If set as the
Internalsignatory, this will be completed once allExternalsignatures are received.Sent: The signature has been sent out to the user via DocuSign.
Signed: The signatory has completed their signature.
At any point in the lifecycle, you can revoke the requests via the button in the top right, which will invalidate the signatures that have been complete and you will be taken back to the Contract shell creation wizard where you can change what you need to change and then push the contract shell back out for the approval and signature stages.
After approval of the contract shell, you can also Resend signing email via the button at the top right of the signatory table which pushes out an email to any of the signatories that have not yet complete their signature and are still displaying a status of 'Sent'.
Signatories with a status of 'Signed' will not be effected or receive an email when the 'Resend signing email' button is clicked
Once all signatures have been completed, Contract Shell owners will all receive a confirmation email to let you know all parties have signed and then the document will be re-uploaded and the signatures will be visible next to the document within the now 'published' Contract shell.
