How do I Create and Managing the Contract Lifecycle?

Contract Lifecycle

Creating and storing contracts in Cotiss involves progressing Contracts through several phases until it is Published. There are several states the contract flows through; Drafting β†’ Pending Approval β†’ Pending Signatures (if required) β†’ Published. Contracts can then be Ceased or Archived.

You can then choose to link your contract to a procurement or store it as an independent contract.


How do I view Contract audit history?

Each contract represents an agreement between two or more parties in the repository. As agreements are updated throughout time, via variations, certain information can be updated about that agreement. All variations must go through approval before updating the core record.

If updated, a record of changes will be visible against that item, including who approved it, who actioned it and when it was updated.

You can access this via the following locations:

Viewing Contract Version history

  1. Click View on the Contract you want to see the audit history for

  2. Open the Contracts tab on from the left hand menu

  3. Click View on the contract version of choice

Viewing Variated Metadata history

  1. Click View on the Contract you want to see the audit history for

  2. On the General Metadata page you will see, any Metadata that has been Variated will show a View History button below the field

  3. Once opened - you will see the changes that were made with timestamps and reference to the user who actioned the changes
