How do I view Vendor Submissions as they come in?

Response Visibility is determined by the set up the procurement manager applies at the creation of the RFx, the two options available are:

  • No response visibility

    • This options will not allow you to see the response forms the vendor has submitted until after the requests close date

  • Yes to response visibility

    • This options will allow you to see the response forms the vendor has submitted before the close date, as the response comes in.

    • To view the responses, Click on the vendors name, click the 'Preview Response' button, hover over the document you want to preview and click 'View' as seen below:

Note: If you are a Procurement Manager - make sure you set the visibility you want at the planning stage of the RFx.

How do I include submissions received outside of Cotiss?

Occasionally, a vendor may not submit through the platform or miss the close date.

Post the listing closing, if you wish to add additional submissions, you can do so in the review phase.

Click on the Add Submissions button to manually add a submission. You will then be able to add the documentation received externally.

Submissions manually added by your team will be tagged as submitted by 'Buyer', to maintain a log of what was received directly and what was uploaded.


Clarification Documents

In addition to the submitted documents, you can add clarification documents if any additional information is received after the listing closing.


Mandatory Conditions

During the review phase, you can pass or fail the mandatory conditions for each response. Responses are still able to be included even if they have failed specific conditions - this is at the discretion of the procurement owner.

Including and Excluding Responses

Once the request has closed you can include or exclude responses as part of the review phase. If excluded, justification can be provided.
