How do I find requests that are 'Open to the Market'?
Requests in Cotiss can have 1 of the following privacy settings set:
'Public: Display on your portal'
This will mean that a vendor who has been sent the link to respond to any request (either via email or via a public marketplace) within the buyers procurement project will be able to automatically access the other requests that have been set to 'Public' as well as they roll in.
'Private: Invite Only'
This will mean that the Vendors are sent the link to respond either via an email pushed from the cotiss platform or directly from the Buyer themselves
Note: Cotiss is NOT a public marketplace therefore at this point you cannot search for Requests of interest - You can do this in your local marketplaces and there the Buyers will make their Cotiss Request link available if it is a public request.
Subscribing to a request
If you have been invited to a procurement, you will be taken to the listing view. Here, you can subscribe to the listing. You can also view key details, however, you will not be able to access documentation until you subscribe to the listing.
Once subscribed, the buyer will be notified and you will have access to the documentation.
You can then view and download all documentation, including response forms.
If you view the documentation after subscribing and realise you do not wish to submit a response - You can Unsubscribe from the listing to reflect your status to the Buyer correctly.
Drafting your response:
When ready, you will want to head to the Tender Response Tab to start your response by clicking 'Start Response' in the top right. Once started, the buyer will be notified you are drafting. Whilst drafting, you can upload your price and non-price response documents as required by the listing.
Responses can be drafted offline and uploaded into your response.
Response documents have a maximum file size of 256mb.
Submitting your response:
Up until the close date, you can submit your response. Once submitted, you can put your response back into drafting if you wish to make changes.
Withdrawing your response:
Your response can be withdrawn if you wish to notify the buyer that your response is no longer relevant.
If you change your mind and wish to return and finish that response, head back into the RFx and click the 'Resume Response' button in the top right corner.
Adding collaborators
If you require any colleagues in your business to assist with completing the response, you will need to begin with adding them as 'team members' within your Cotiss Vendor Account.
Open Settings and select the Team Members option
Click on '+ Add New User'
Input the users Email Address
Select the role best fit for the user
Note: Adding users to a Vendor account will not cost you any licensing fees
Once they have accepted and are an active user - you will then be able to head to the Tender where you should see a βTeamβ tab. In there you will be able to 'add team members' to the Tender for collaboration on your response.
